Contentful Workflows
A focused learning experience to help customers translate product features into practical workflows

Role: Learning Experience Designer
Timeline: ~2–3 weeks (as part of a larger course)

Audience: Contentful customers (technical and non-technical)
Context: Customer education course on implementing workflows within the Contentful platform
The Problem
Workflows are a powerful feature within Contentful, but customers often struggled to translate the concept into their own content operations.
Common challenges included:
-Difficulty mapping abstract workflow concepts to real content processes
-Uncertainty around how to structure roles, states, and transitions
-Overwhelm when trying to design workflows from scratch
Customers didn’t just need to understand what workflows are - they needed guidance on how to think through and apply them in their own context.
My Approach
I focused on making an abstract concept tangible, actionable, and immediately usable.
-Start with real-world context
I anchored the lesson in a familiar content lifecycle, helping learners connect new concepts to processes they already understand.
-Design for guided decision-making
Rather than presenting workflows as a fixed structure, I framed the lesson around key considerations—helping learners think through decisions like roles, states, and approvals.
-Keep it focused and digestible
As part of a larger course, I scoped this lesson tightly to a single objective: mapping the content lifecycle. This ensured clarity without overwhelming the learner.
The Solution
I designed a short, scenario-driven lesson that:
-Walked learners through a simplified content lifecycle from creation to publication
-Introduced workflow concepts in context, not isolation
-Included guided prompts and examples to help learners map their own workflows, and allowed learners to save or print their responses following the lesson
The lesson emphasized application over explanation, giving learners a clear starting point for implementing workflows in their own environment.
